Beta Terms and Privacy Notice

Beta Terms
You have been invited to a pre-release version of Groovedesk (App). By creating an account you agree to the following.
This is beta software. Features will change, break, and sometimes disappear. We do not promise uptime, accuracy, or that your work will be preserved.
We may reset, migrate, or delete beta data as we develop the product. Keep your own copy of anything you cannot afford to lose.
Your access can end when the beta ends, or earlier if we need to close it. We will tell you before that happens.
Only upload music, artwork, documents, and other content you have the right to use. You keep ownership of everything you put in Groovedesk. You give us permission to store, process, and display it in order to run Groovedesk for you.
Marketing plans generated by the AI features are yours to use. They are produced by third-party models and may be wrong; check them before you act on them.
Feedback you give us about the product, in the app or in conversation, is ours to use in building Groovedesk. We will not credit you publicly without asking.
Do not use the beta to attack, scrape, or overload the service, or to store content that is illegal where you are.
We can close accounts that break these terms.
Privacy Notice
This is what we collect, who handles it, why, and how to get it removed.
What we collect
Account details. Your name, email address, and password. The password is stored hashed. If a workspace invited you, the invitation record with your email.
What you put in Groovedesk. Releases, tasks, marketing plans, files you upload, and anything you type into the app. Uploaded files are scanned for viruses.
How you use the app. Which screens you open, which features you use, and errors the app runs into. We do not record general page views, individual clicks, or console output. Your IP address is discarded before usage data is stored.
Session replays. In some parts of the app, a recording of how the screen changes as you use it. Everything you type and all text on screen is masked in these recordings. They show layout and interaction, not your content. Replay can be switched off for a whole workspace.
Voice clips. If you use dictation, the audio you record is sent for transcription and the text comes back into the field you were filling in. We do not store the audio. What you then save is kept like anything else you type.
Who handles it
Railway runs the app server and the database. US West, United States.
Tigris stores files you upload. San Jose, United States.
Vercel serves the web app from its global edge network. It does not hold your account data.
PostHog stores usage data and session replays. European Union.
Groq transcribes voice clips. United States. Groq does not keep inference inputs by default; troubleshooting logs are kept up to 30 days.
OpenRouter routes marketing-plan generation to the model provider, currently OpenAI. United States. Neither uses your inputs to train models. OpenAI keeps abuse-monitoring logs for up to 30 days.
Resend sends account emails such as verification. US East, United States.
Each of these acts on our instructions and under their own privacy policy, linked from their sites.
Why
To run the product, fix what breaks, and understand which parts of Groovedesk are working for you. We do not sell your data and we do not use it for advertising.
Where it goes
Most of your data is processed in the United States, and usage data in the European Union. That may be outside the country you live in. By using the beta you agree to that.
How long we keep it
Your account and content: for the duration of the beta, or until you ask us to remove them. When the beta ends we will tell you what happens to your account and data before we do anything.
Usage events in PostHog: up to 7 years.
Session replays in PostHog: 30 days.
Your choices
Dictation is optional. If you do not want audio sent for transcription, type instead.
Session replay can be turned off for your workspace on request.
Email contact@groovedesk.io to deactivate your account. Deactivation stops all access. If you also want your content and account record deleted, say so in the same email and we will do it by hand within 30 days.
Changes
If we change this page in a way that matters, we will email you before it takes effect.
